1、邮件开首句型
邮件称呼:
普通工作邮件,直接称呼名字字就好了,比如Hi Steven,不需要用Mr., 甚至写给总裁的邮件,也是直接说Hi Bill,不需要Hi President Johnson。否则真的真的太令人不自在了。
学术场合才需要加抬头,比如Prof. Johnson. 政客的Congressman Johnson.
一般不加Dear哦,只有公司HR群发邮件才说Dear all, 发给个人的,一般就Hi Steven或者直接说Steven,
邮件问好:
周一/二可用:
■ I hope that your week is off to a great start.
■ Hope you had a great weekend.
万能的:
■ Hope you’re well/Hope you are doing well.
■ I hope this message finds you well.
美国人的开头总是hope来hope去的,除了希望还特别爱谢谢人。。。
感谢系列:
■ Thanks for the quick reply.
■ Thanks for getting back to me.
■ Thanks for the update on the situation.
■ Thanks for the updated information.
■ Thanks for gathering the information this week on this issue.
别人发邮件提供信息给你,中文邮件是懒得回的,英文邮件也习惯感谢,简单回复一个。
■ Thank you.
■ Well noted.
■ Noted/Received with thanks.
■ Good information.
2、邮件内容句型——必备句式
请别人帮忙
■ At your convenience, would you please send me.....
最後加上Thank you for your assistance.
寻求意见
■ Our team would appreciate your insights/input on.....
■ Due to the short time frame for this proposal, prompt reply is greatly appreciated.
取消会议
■ I want to be mindful of your time and we don’t have any updates at this point; therore I suggest that we cancel/reschedule today's meeting. If you disagree or need assistance, please let us know.
■ My apologies for the late notice, but i need to reschedule tomorrow's call. There remain a few open items we need to address, therore i will send out a new invite once we agree upon a time.
对方发邮件问问题时,回答完加上
■ Hope this answers your question. Let me know if further detail/explanation would be helpful.
会议总结
■ Thank you for making time on a very busy Friday afternoon to join our discussion. i hope we were able to provide clarity on......Attached is a summary of what we discussed today.
道歉
如果是回邮件回得晚了,先道歉,(以下sorry也可以替换成apologize,更正式一点,发给重要的人或者群发)
■ Sorry for the late reply.
■ Sorry I haven’t got back to you sooner .
■ Sorry for the delay getting back to you.
如果是临时通知别人是什么事情
Apologies for the late/short notice.
如果是上一封邮件没写清楚导致收件人误解了
I apologize if this was not made clear
提前给别人预警如果自己的措辞过于强硬
I apologize if this may make you feel uncomfortable/bad.
I apologize if this may sound a little harsh.
3、收尾套路
最后收尾的套路,一般都是问别人意下如何。(不要用please tell me ...这种句式,从来没见过老外用的)
■ Please let me know what you think.
■ Please let me know your thoughts.
■ Let me know if you have any questions or concerns.
■ Please let me know if there are questions.
■ Looking forward to your input/insight
■ That’s my idea, what's your idea?
■ Please review the lengthy e-mail and provide feedback on how we can proceed.
或者,干脆用下面的话结尾
■ I'll let you know more tomorrow
■ Please call me if you like
4、文件在附件中哦?
附件怎么说?
附件的英文是attachment.但是如果你说please find the attachment实在是恶俗至极。
一般直接用动词attached, enclosed.
■ Attached/Enclosed please find the report.
■ I attached the report and let me know what you think.
文件怎么说?
excel, pdf, word 如果你说file也是恶俗至极,正确的说法是document.(excel可以说spreadsheet, ppt可以说presentation)
■ Attached please find the document.
5、真实案例
过去几天我一直在做老板 A 布置的任务,可有一天早上,老板 B 发邮件布置了新任务。我想,邮件里跟老板 B 肯定解释不清,而且显得我能力不足。反正我手头上的事最多再有半天就做完了,那时候我再回复老板 B 吧。
结果不巧,剩下那些 A 布置的活比我预期的要难,我花了一天才做完。
晚上,刚准备留下做老板 B 的活,就收到他的邮件,问我做的怎么样了。我急忙打电话向他解释了情况。他说,那你应该早点告诉我,我这个今晚就要。早知道你在做别的事,我就安排其他人了。
所以拯救英文邮件最重要的是——要融入英语语境的环境中
如果你给人做事:
■ Will do.
■ On it now!
■ Will send over a draft by the end of the day.
■ I'm having trouble accessing XYZ's site. Might have to get back to you tomorrow. Is that okay?
■ (更客气一点)I have a lab report and a problem set due on the same day. Could I have an extension till Wednesday?
■ (如果你同时被布置了两件事)I'm working on a memo ABC needs for his mtg this pm. Should I talk to ABC?
■ I'm not feeling well today and will take the afternoon off. Please do let me know if you need me tomorrow.
如果你负责项目
■ Received with thanks.
■ How's your XYZ (research paper, draft analysis, lab report) going?
■ Wanted to clarify something with you. Could you call after 3?
■ The second half needs a bit more work. Check this report we published last quarter, and send me what you have this pm.
■ Shoot me an email when you are free.
■ I'm on the road this week. Will get back to you next Monday.
上面的句子很多没有主语,乍一看也不礼貌,更没有“亲爱的某某”,“祝好”这类客气话。但公司、学校的内部沟通,很多时候要的就是这种简洁的进度更新。永远不要因为怕打扰或者怕邮件里说不清就不发邮件,永远不要假定你的老板、老师、同事、下属知道你在干什么,遇到问题要积极沟通而不是埋头干活,比没能按时完成任务更糟糕的是没有提前知会老板。
实际上美国人的商务邮件用词造句非常灵活且随意,有时候写的邮件明明看上去有语法错误,但这就是美国人的邮件风格:
第一,做事儿
第二,把事儿说清楚
第三,符合美国人的说事儿习惯
